This research examines a collaborative solution to a common problem, that of providing help to distributed users. The Answer Garden 2 system provides a secondgeneration architecture for organizational and community memory applications. After describing the need for Answer Garden 2’s functionality, we describe the architecture of the system and two underlying systems, the Cafe ConstructionKit and Collaborative Refinery. We also present detailed descriptions of the collaborative help and collaborative refining facilities in the Answer Garden 2 system.

The Montage prototype provides lightweight audio-video glances among distributed collaborators and integrates other applications for coordinating future contact. We studied a distributed group across three conditions: before installing Montage, with Montage, and after removing Montage. We collected quantitative measures of usage as well as videotape and user perception data. We found that the group used Montage glances for short, lightweight interactions that were like face-to-face conversations in many respects. Yet like the phone, Montage offered convenient access to other people without leaving the office. Most glances revealed that the person was not available, so it was important to integrate other tools for coordinating future interaction. Giant strides in information technology at the turn of the century may have unleashed unreachable goals. With the invention of groupware, people expect to communicate easily with each other and accomplish difficult work even though they are remotely located or rarely overlap in time. Major corporations launch global teams, expecting that technology will make “virtual collocation” possible. Federal research money encourages global science through the establishment of “collaboratories. ” We review over 10 years of field and laboratory investigations of collocated and noncollocated synchronous group collaborations. In particular, we compare collocated work with remote work as it is possible today and comment on the promise of remote work tomorrow. We focus on the sociotechnical conditions required for effective distance work and bring together the results with four key concepts: common ground, coupling of work, collaboration readiness, and collaboration technology readiness. There have been many attempts to support awareness and lightweight interactions using video and audio, but few have been built on widely available infrastructure. Text-based systems have become more popular, but few support awareness, opportunistic conversations, and mobility, three important elements of helping distributed groups coordinate. We built on the popularity of text-based Instant Messengers (IM) by building a mobile IM called Hubbub that tries to provide all three, notably through the use of musical sounds. In a 5.5-month use study, we found that Hubbub helped people feel connected to others in different locations and supported opportunistic interactions. Sound was a useful cue for helping people feel connected, although some found it annoying. It was more important to support graceful transitions between multiple fixed locations than to support wireless access, although both were useful.

Collaborations over distance must contend with the loss of the rich, subtle interactions that co-located teams use to coordinate their work. Previous research has suggested that one consequence of this loss is that cross-site work will take longer than comparable single-site work. We use both survey data and data from the change management system to measure the extent of delay in a multi-site software development organization. We also measure site interdependence, differences in same-site and cross-site communication patterns, and analyze the relationship of these variables to delay. Our results show a significant relationship between delay in cross-site work and the degree to which remote colleagues are perceived to help out when workloads are heavy. This result is particularly troubling in light of the finding that workers generally believed they were as helpful to their remote colleagues as to their local colleagues. We discuss implications of our findings for collaboration technology for distributed organizations.

Interfaces to databases have traditionally been designed as single-user systems that hide other users and their activity. This paper aims to show that collaboration is an important aspect of searching online information stores that requires explicit computerised support. The claim is made that a truly user-centred system must acknowledge and support collaborative interactions between users. Collaborative working implies a need to share information: both the search product and the search process. Searches need not be restricted to inanimate resources but people can also search for other people. The ARIADNE system is introduced as an example of computerised support for collaboration between browsers. A number of systems offering varied approaches to supporting collaboration are surveyed and a structure for analysing the various aspects of collaboration is applied.

This chapter analyzes why computers and telecommunications have not created computcr-mediated work environments for collaboration that are as successful as physically shared environments. Our goals are, first, to identify the mechanisms by which proxin~ity makes cnl-laboration easier, concentrating on the way it facilitates interpersollal interaction and aware-ness; and second, to evaluate how current computer-mediated communication technologies provide or fail to provide the key benefits of proximity. We use a decompositional frame-work that examines how visibility, copresence, mobility, cotemporalitv and other affordances of media affect the important collaborative tasks of initiating conversation, establishing common ground, and maintaining awareness of potentially relevant changcs in the collabo-rative environment. Increasingly, collaborating with other people is as likely to take place over distance or time as it is face-to-face. DIVA, a novel environment for group work, is presented. This prototype virtual office environment provides support for communication, cooperation, and awareness in both the synchronous and asynchronous modes, smoothly integrated into a simple and intuitive interface which may be viewed as a replacement for the standard graphical user interface desktop. In order to utilize the skills that people have acquired through years of shared work in the real offices, DIVA is modeled after the standard office, abstracting elements of physical offices required to support collaborative work: people, rooms, desks, and documents. We report an empirical study of a synchronous messaging application with group-oriented functionality designed to support teams in the workplace. In particular, the tool supports group chat windows that allow members of a group to communicate with text that persists for about a day. We describe the experience of 6 globally-distributed work groups who used the tool over a period of 17 months. An analysis of use shows that the group functionality was used primarily for bursts of synchronous conversations and occasional asynchronous exchanges. The content was primarily focused on work tasks, and negotiating availability, with a smattering of non-work topics and humor. Nearly all groups were remarkably similar in the content of their group chat, although the research group chatted far more frequently than the others. We conclude with suggestions for future research, and a discussion of the place of team-oriented synchronous messaging tools in the workplace.

Video media spaces are an excellent crucible for the study of privacy. Their design affords opportunities for misuse, prompts ethical questions, and engenders grave concerns from both users and nonusers. Despite considerable discussion of the privacy problems uncovered in prior work, questions remain as to how to design a privacy-preserving video media space and how to evaluate its effect on privacy. The problem is more deeply rooted than this, however. Privacy is an enormous concept from which a large vocabulary of terms emerges. Disambiguating the meanings of and relationships between these terms facilitates understanding of the link between privacy and design. In this article, we draw from resources in environmental psychology and computersupported cooperative work (CSCW) to build a broadly and deeply rooted vocabulary for privacy. We relate the vocabulary back to the real and hard problem of designing privacy-preserving video media spaces. In doing so, we facilitate analysis of the privacy-design relationship.
